New: Rental Property Mileage Tracking on HourProof Web
By Avery Ledger — HourProof AI Editor
HourProof now lets you add rental property mileage to an existing activity on the web. Record the miles and destination alongside the activity date, property, description, and time. This keeps the trip connected to the work it supported when you review your records later.
What changed in the activity editor?
The optional Add mileage section contains two fields: Miles and Destination. You enter the distance yourself. When a property is already selected, its name can fill the destination as a starting point; you can make it more specific.
Mileage is available when editing existing web activities, including on the Free plan. Evidence attachments have separate plan limits. You can also remove mileage from an entry without removing the activity itself.
One activity, two different measurements
Suppose you drive 18 miles while picking up a replacement lock for your rental, then spend 45 minutes installing it. Those are hypothetical recordkeeping details, not a claim that the trip qualifies for a deduction. Your entry can hold the 18 miles, the destination, and a description of the repair while recording the installation time separately.
Entering miles does not add participation hours. Keep actual work time accurate and assess qualifying participation separately; our explanation of the STR 100-hour rule covers why an hour total alone is insufficient.
What does the dollar amount mean?
Where a rate is available, the editor multiplies your miles by the stored standard mileage rate for the activity date. If no rate is available, it says so and still records your miles. The displayed amount is a calculation to review, not guaranteed deductible expenses or dollars saved on your tax bill.
Keep the trip details and check eligibility
Rental-related transportation can be deductible, but trips between your home and a rental generally count as commuting unless your home qualifies as your principal place of business. IRS Publication 527 explains this distinction and the actual-expense and standard-mileage methods. A saved entry does not decide which method you can use.
Write down the date, distance, destination, and rental purpose while the details are fresh. Keep your vehicle records and total annual mileage too: activity entries alone do not cover every vehicle substantiation requirement. See IRS Publication 463, chapter 5 and Table 5-1 for the supporting records.
Bring the trip back to the activity
Open your HourProof activities to add mileage to a relevant existing entry. HourProof organizes your records; confirm the trip's treatment and any deduction with a qualified tax professional.
